Customer share links

For managers and administrators: send a customer a read-only link to one trip or one vehicle day. The customer does not need an account. Part of the documentation.

What the customer sees

The link opens a public page. The page does not ask for a sign-in. It shows:

  • The route on a map, with the events as dots on the route.
  • The facts. For a trip: the distance and the duration. For a day: the distance, the number of trips, the overspeed, the idle time, and the night driving.
  • For a day: the list of trips.
  • The list of events in the time window.
  • Your note, if you wrote one, and the date and time when the link expires.

The customer sees only that trip or that day. The customer cannot see other trips, other vehicles, the live fleet map, photos, or video.

Share a trip

  1. Open the Trips page.
  2. Find the trip. You can use the By vehicle view or the By driver view.
  3. Click Share on the trip card.
  4. In Expires in (days), type a number from 1 to 30. The default is 7.
  5. Optional: in Note, type a short text for the customer, for example "delivery 12". The limit is 140 characters.
  6. Click Create link.
  7. Click Copy. Then click Done.
  8. Send the link to the customer by e-mail or chat.

Copy the link before you close the panel. The link shows one time only. If you lose it, create a new link.

Share a vehicle day

  1. Open the Reports page and select the Daily tab.
  2. Select the vehicle and the day.
  3. Click Share.
  4. Do steps 4 to 8 of Share a trip.

You can share a day only when its daily summary exists. Filodos makes the summaries each night. If the Daily tab shows no summary for the day, you cannot share it yet.

Manage and revoke links

Open Organization → Share links. The page shows all links of your organization, newest first. Each row shows the target (a trip or a day), the note, the start, the expiry, and the status.

live · viewed …The link works. The time shows the most recent view.
expiredThe expiry date is in the past. The link does not work.
revoked …A user revoked the link. The link does not work.

To stop a link before it expires:

  1. Find the link in the list.
  2. Click Revoke.
  3. Click Confirm revoke.

The revoke is immediate. The row stays in the list with the revoke time. The page does not show the full link again.

Rules and limits

  • Administrators and managers can create and revoke links. Driver logins cannot.
  • A link is for one trip or one vehicle day of your organization only.
  • A link expires after 1 to 30 days. You cannot extend a link. Create a new link instead.
  • An expired, revoked, or unknown link shows the message "This link is invalid, expired, or revoked."
  • Anyone who has the link can open the page. Send it only to the correct person.
  • The map shows the route as the device recorded it. If the location service is not available, the page shows the facts and the events with no route.

For developers: the same functions are available at GET, POST /share-links and DELETE /share-links/{id}, with a sign-in token that is not a driver token. API keys cannot manage share links.
