Import sites from a CSV file

For administrators: import customer and depot sites from any ERP into Filodos with a CSV file. The connection needs no login: you map the file columns once, then upload the file. Each site with coordinates becomes a zone on the fleet map. Part of the documentation.

What the import does

  • File rows into zones. Filodos reads the uploaded CSV file. Each row with coordinates becomes a zone on the fleet map. See ERP sites and zones.
  • No notes back. A CSV file has no write path, so Filodos never writes visit notes for these zones. Zone visits still show on the map and in the reports.

There is no automatic sync: the site list changes only when you upload a new file. A sync never deletes a zone. Rows missing from a new file become orphaned, and their zones stay on the map.

The file format

  • Encoding: UTF-8 (with or without a BOM) or Greek Excel (windows-1253).
  • Delimiter: comma, semicolon, or tab. Greek Excel exports usually use a semicolon.
  • First row: the header. Only the id and name columns must exist.
  • Coordinates accept a decimal comma (37,9838). Rows without coordinates wait in the quarantine list for a location.

Add a connection and upload

  1. Sign in as an administrator. Open Organization → ERP.
  2. In New connection, select CSV file import. Type a name and click Add connection. No address or login is needed.
  3. In the Workflow panel, set the Delimiter and map the Columns to your file headers. The id and name columns are required. Click Save workflow.
  4. In the Site file panel, pick the CSV file. Filodos uploads it and shows the counts: new, changed, unchanged, sites that need a location, and sites gone from the file.

To refresh the sites, export a new file from the ERP and upload it again.

Change, pause, or delete

  • Change. Edit the name in the Connection panel, or the delimiter and columns in the Workflow panel. Upload the file again after a column change.
  • Pause. Click Pause. Uploads are disabled. Click Resume to continue.
  • Delete. Click Delete, then Confirm delete. Filodos removes the connection and its site list. The zones stay on the map. Remove them on the Geofences page if you do not need them.

Troubleshooting

the file header misses column(s)The id or name header is missing, or a mapped header is spelled differently. Check the Columns mapping against the first row of the file.
the file is neither UTF-8 nor windows-1253 encodedSave the file as UTF-8 or as Greek CSV from Excel and upload it again.
the file is emptyThe picked file holds no text. Export the list again.
the file holds more than 5000 sitesSplit the file before the first sync, for example one file per region.
Many rows need a locationThe coordinate columns are empty or use an unknown format. Map Latitude and Longitude to the right headers, or set the locations by hand in the quarantine list.
